By making a booking, the person making the booking confirms that they have authority to accept these Terms on behalf of all passengers travelling under the booking.

  1. Booking and Contract Formation

All bookings are subject to vehicle and chauffeur availability.

A booking request is not confirmed until YR Executive has issued written confirmation by email, text message or another agreed written method.

The contract between you and YR Executive begins when we issue the booking confirmation.

Please check the confirmation carefully, including:

You must tell us promptly if any details are incorrect. YR Executive is not responsible for loss or delay caused by inaccurate or incomplete information supplied by the customer.

Bookings made on behalf of another passenger remain the responsibility of the person or organisation making the booking, including responsibility for payment and communicating these Terms to the passenger.

  1. Vehicles and Chauffeurs

Unless otherwise stated, services will normally be provided using a Mercedes-Benz S-Class vehicle or another vehicle of a similar executive standard.

Images of vehicles displayed on our website are illustrative. Vehicle colour, specification and registration may vary.

Although we will make reasonable efforts to provide the requested vehicle, we may substitute a comparable vehicle where reasonably necessary because of breakdown, servicing requirements, safety concerns, operational disruption or circumstances outside our control.

Where appropriate, we may use a suitably licensed and insured chauffeur or subcontractor to fulfil a booking. YR Executive will remain responsible for managing the booking unless we clearly tell you otherwise.

  1. Prices

All prices are quoted in Pounds Sterling and include VAT where VAT is applicable, unless expressly stated otherwise.

The booking confirmation will state what is included in the agreed price.

Unless included in the quotation, additional charges may apply for:

We will inform you of reasonably foreseeable additional charges before confirming the booking wherever practicable.

A quotation is based on the information provided at the time. If the journey requirements change, we may provide a revised price.

  1. Payment

Payment may be made using the payment methods offered at the time of booking, including secure online payment, bank transfer or credit/debit card.

Unless agreed otherwise in writing, payment must be received before the journey begins.

For weddings, corporate events, full-day hire, multiple-vehicle bookings or other substantial reservations, we may require a deposit or full advance payment.

Where a deposit is required, the booking confirmation will state:

If payment is not received by the stated due date, we may treat the booking as cancelled by the customer and apply the relevant cancellation charge.

The customer is responsible for any bank, currency-conversion or payment-processing charges imposed by their own provider.

  1. Cancellation by the Customer

Cancellation must be communicated to YR Executive using the contact details shown in the booking confirmation.

A cancellation takes effect when it is received by us. Customers should retain evidence of the cancellation request.

Unless different terms are stated in the booking confirmation, the following charges apply.

6.1 Airport and Standard Point-to-Point Transfers

6.2 Weddings, Events, Full-Day Hire and Multiple-Vehicle Bookings

6.3 Refunds

Where a refund is due, it will normally be made to the original payment method.

Any non-refundable deposit or bespoke third-party cost must have been clearly identified before the booking was confirmed

  1. Cancelled, Diverted or Rescheduled Flights

A flight cancellation does not automatically cancel the chauffeur booking.

You must contact us as soon as reasonably possible if your flight is cancelled, diverted or significantly rescheduled.

Where sufficient notice is provided, we will make reasonable efforts to transfer the booking to a replacement flight or a new date, subject to availability.

Any revised journey may be subject to a price adjustment.

If we cannot accommodate the replacement journey, or if the passenger does not require an alternative transfer, the standard cancellation policy will apply. We may take account of the circumstances and any costs we have avoided, but this is at our reasonable discretion unless otherwise agreed in writing.

If a flight is diverted to a different airport, any collection from the alternative airport must be agreed with us and may incur an additional charge.

  1. Flight Monitoring

For airport collections, we will monitor the published arrival information for the flight number supplied by the customer.

Where reasonably possible, we will adjust the collection time to reflect genuine flight delays.

Flight monitoring is dependent on accurate information being available from the airline, airport or flight-information provider. We cannot guarantee the accuracy of third-party flight data.

We cannot provide flight monitoring where:

Passengers should contact us once they have landed if reasonably able to do so.

  1. Collection Times and Waiting Time

9.1 Airport Collections

Unless otherwise stated in the booking confirmation, airport collections include

60 minutes of complimentary waiting time

, beginning from the later of:

Where the booking specifies a requested meeting time after landing, complimentary waiting time will begin from that requested meeting time.

After the complimentary period, waiting time will be charged in 15-minute increments at the rate stated in the booking confirmation or, if no rate is stated, our prevailing waiting-time rate.

9.2 Non-Airport Collections

Unless otherwise agreed, non-airport point-to-point bookings include

15 minutes of complimentary waiting time

 from the confirmed collection time.

After this period, additional waiting time will be charged in 15-minute increments.

9.3 Contact During Waiting Periods

The passenger must remain reasonably contactable using the telephone number provided with the booking.

If the passenger cannot be contacted and does not arrive within the applicable waiting period, we may treat the booking as a no-show.

  1. No-Shows

A booking will normally be treated as a no-show where:

No-shows are charged at 100% of the booking price, together with any additional parking, waiting, toll or airport charges incurred.

The passenger is responsible for attending the collection location described in the booking confirmation or subsequently communicated by the chauffeur.

  1. Amendments and Additional Requests

Changes to a booking are subject to vehicle and chauffeur availability and cannot be guaranteed.

Amendments may result in a revised price, particularly where they involve:

A requested change is not confirmed until accepted by us in writing.

The chauffeur is not required to accept a material change requested during the journey where it would affect another booking, exceed permitted driving hours, create a safety concern or substantially change the agreed service.

  1. Passenger Numbers and Luggage

The customer must provide accurate passenger and luggage information when booking.

Passengers and luggage must not exceed the safe or lawful capacity of the vehicle.

YR Executive may refuse to carry luggage or other items that:

No refund will be due where the journey cannot proceed because the passenger numbers or luggage materially exceed the information supplied at the time of booking.

Valuable, fragile or temperature-sensitive items are carried at the passenger’s risk unless their carriage has been expressly agreed in writing.

  1. Children and Child Seats

The customer must tell us when children will be travelling and provide their ages, approximate heights or weights, and any child-seat requirements.

Where YR Executive agrees to provide a child seat, its availability and any additional charge will be confirmed in writing.

Unless we expressly agree to supply and fit a child seat, the parent, guardian or accompanying adult is responsible for supplying an appropriate seat and ensuring that the child is secured in accordance with applicable law.

The chauffeur may refuse to carry a child where doing so would be unsafe or unlawful.

  1. Passenger Conduct

Passengers must behave lawfully, safely and respectfully towards the chauffeur, vehicle and other passengers.

Smoking and vaping are prohibited in all vehicles.

Passengers must not:

Alcohol may only be consumed where expressly permitted by us in advance.

The chauffeur may refuse to begin or may terminate a journey where, acting reasonably, they believe that a passenger’s behaviour creates a safety risk, is unlawful, is abusive, or is likely to damage the vehicle.

Where a journey is refused or terminated because of passenger misconduct, no refund will normally be due, and the customer remains responsible for the full booking price and any resulting cleaning or damage costs.

  1. Cleaning and Damage

The customer is responsible for the reasonable cost of repairing damage or carrying out specialist cleaning made necessary by a passenger’s deliberate act, negligence or misconduct.

This may include damage or contamination caused by:

We may charge the reasonable cost of cleaning or repair, together with a reasonable amount for documented loss of use where the vehicle cannot be used while being cleaned or repaired.

We will provide reasonable evidence of any material cleaning or damage charge upon request.

  1. Delays and Journey Times

Journey times and arrival estimates are estimates only and are not guaranteed.

We will use reasonable care and skill in planning and carrying out the journey. However, delays may occur because of circumstances outside our reasonable control, including:

Where reasonably possible, we will keep the customer informed and take a reasonable alternative route.

The customer is responsible for allowing sufficient time for check-in, security, meetings, reservations and onward connections.

Additional journey time caused solely by circumstances outside our control will not, by itself, increase the agreed point-to-point fare. However, additional customer-requested waiting time, stops or route changes may be charged separately.

  1. Breakdown and Service Disruption

Vehicles are maintained with the aim of providing a reliable service, but mechanical or technical failures can occur.

If a vehicle becomes unavailable or breaks down, we will use reasonable efforts to provide:

we cannot provide the booked service or a reasonable alternative, our liability will normally be limited to refunding the affected service.

Nothing in this clause limits rights or remedies that cannot legally be excluded.

  1. Lost Property

Passengers are responsible for their personal belongings.

Any property found in a vehicle will be stored for a reasonable period and reasonable efforts will be made to identify its owner.

The customer is responsible for the reasonable cost of returning lost property, including chauffeur time, postage, courier charges or travel costs.

We do not accept responsibility for property left in a vehicle unless the loss results from our failure to exercise reasonable care and skill.

Unclaimed items may be disposed of, donated or passed to the police after a reasonable retention period, depending on the nature and value of the item.

  1. Cancellation by YR Executive

We may cancel a booking where:

Where we cancel for reasons not caused by the customer and cannot provide a reasonable alternative, we will refund amounts paid for the affected service.

We will not be responsible for indirect or consequential loss arising from a cancellation outside our reasonable control, subject to applicable law.

  1. Liability

YR Executive will provide its services with reasonable care and skill.

Nothing in these Terms excludes or limits liability for:

  1. Business Customers

Where a booking is made wholly or mainly for business purposes, the customer confirms that the person making the booking has authority to bind the relevant business.

The business customer is responsible for payment whether or not the named passenger travels.

Any purchase-order requirements or internal approval procedures of the customer do not override these Terms unless expressly agreed by YR Executive in writing.

  1. Privacy and Personal Information

We use personal information to:

We may share relevant booking information with chauffeurs, payment providers, booking-system providers, professional advisers and subcontractors where necessary to provide the service or comply with the law.

Further information about how we collect, use, retain and protect personal information is set out in our separate Privacy Notice available on our website.

We do not sell personal information to third parties.

  1. Complaints

Customers should raise any immediate service concern with the chauffeur or YR Executive as soon as reasonably possible so that we have an opportunity to address it.

Formal complaints should be sent to:

[complaints email address]

Please include the booking reference, journey date and a description of the concern.

We aim to acknowledge complaints within

[for example, five working days]

and provide a substantive response within a reasonable period.

  1. Events Outside Our Reasonable Control

Neither party will be responsible for failing to perform an obligation where performance is prevented by an event outside that party’s reasonable control.

This does not remove the customer’s responsibility to pay for services already supplied or costs properly incurred before the event occurred.

Where an event outside our control materially affects a future booking, we will work with the customer to rearrange, replace or cancel the service on fair and reasonable terms.

  1. General Provisions

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply.

A failure or delay by YR Executive in enforcing a right does not waive that right.

No person other than the customer, the passengers covered by the booking and YR Executive will have any right to enforce these Terms, except where the law provides otherwise.

We may update these Terms from time to time. The version applying to a booking will be the version made available to the customer when the booking was confirmed.

  1. Governing Law and Jurisdiction

These Terms and any dispute or claim arising from them are governed by the laws of England and Wales.

If you are a consumer living in another part of the United Kingdom, you may also be entitled to bring proceedings in your local courts.

Business customers agree that the courts of England and Wales will have exclusive jurisdiction.
